Overview of the role:
We are seeking a highly organized, proactive, and adaptable Executive Assistant to support the Executive Committee of a group of companies. The Executive Committee is composed of three senior leaders, collectively responsible for the strategic direction and operations of the group. The Executive Assistant will play a critical role in managing their day-to-day activities by prioritizing the activities base on criticality and sensitivity, ensuring smooth communication, and handling various high-level administrative tasks.
What you will be expected to perform:
Administrative Support
- Provide comprehensive administrative support to the Executive Committee, managing calendars, scheduling meetings, and coordinating travel logistics.
- Prepare and organize materials for meetings, including agendas, presentations, reports, and follow-up action items.
- Handle confidential information with discretion and maintain a high level of professionalism in all communications.
Committee Coordination
- Serve as the point of contact for internal and external stakeholders interacting with the Executive Committee, ensuring efficient communication.
- Coordinate the activities of the Executive Committee, ensuring that priorities and deadlines are aligned across the group of companies.
- Organize and document meetings, distributing minutes and tracking action items for follow-up across multiple teams and executives.
Project Management
- Assist with the management and coordination of key strategic initiatives led by the Executive Committee, including follow-up on deliverables and timelines.
- Act as the liaison between the Executive Committee and different departments within the group of companies to facilitate cross-functional collaboration.
Research and Analysis
- Conduct research on various business topics, market trends, and competitors to assist the Executive Committee with strategic decision-making.
- Provide executive summaries and briefings on key business initiatives, helping to streamline information gathering and synthesis.
Communication
- Draft and manage email correspondence, memos, and reports on behalf of the Executive Committee.
- Prepare high-quality presentations and materials for internal and external use, ensuring consistency in tone and brand messaging.
Confidentiality and Professionalism
- Handle sensitive information with the utmost confidentiality and discretion, ensuring that all communications, documents, and discussions are kept private and secure.
- Uphold a professional demeanor at all times, maintaining the integrity and trust of the Executive Committee.
- Ensure that all confidential documents and materials are properly stored and handled in accordance with company policies and data protection regulations.
Event Planning
- Coordinate executive events, such as board meetings, retreats, and company-wide announcements, ensuring seamless execution of all logistics.
- Plan and manage the logistics for company-wide or group-wide events in collaboration with other departments.
Qualifications and Requirements:
Experience: At least 5 years of experience in an executive assistant role supporting C-suite or senior leadership, preferably in a group of companies or complex organizational structure with a background in the Tech Industry.
Education: A Bachelor’s degree in Business Administration, Communications, or related fields is preferred.
Skills:
Strong organizational skills, with the ability to multitask and prioritize effectively.
Excellent written and verbal communication skills.
Proficiency in office software (Microsoft Office, Google Workspace) and project management tools (Asana, Trello, etc.).
High level of confidentiality and discretion.
Strong problem-solving abilities and an eye for detail.
Adaptability to varying schedules, with the ability to accommodate work outside regular business hours when necessary.
Interpersonal Skills: Ability to work independently as well as with multiple stakeholders, manage competing priorities, and maintain a calm, professional demeanor under pressure.
